Team 42 - FYP Portal

As of 30/03/2022 the FYP Portal exists as a Proof of Concept. As such, genuine personal and identifiable data should not be provided through any forms. Any data voluntarily submitted through the FYP Portal is not guaranteed to be secured as described below. Should this solution ever be deployed for use, the party deploying this solution or any variation of it should ensure the GDPR statement, procured and amended from here, below is enforced.

FYP Portal collects the following data:

• Personal identification information as provided by UCL Azure Active Directory (Name, UCL email address)

• Any and all information you enter through a form you submit through the FYP Portal.

You directly provide FYP Portal with most of the data we collect. We collect data and process data when you:

• Forms you fill through the FYP Portal.

• Use or view our website via your browser’s cookies.

FYP Portal may also receive your data indirectly from the following sources:

• UCL Active Directory

FYP Portal collects your data so that we can:

• If you are a staff member, the data filled through the Supervisor Application will be shared with students who access this portal.

• If you are a student, the data filled through the Student Application will be viewable to administrating staff of the FYP Module to find a suitable supervisor.

FYP Portal securely stores your data in Dataverse, secured by Microsoft.

FYP Portal will keep your Student Application data for 1 year. FYP Portal will keep your Supervisor Application data until you opt to not participate in the FYP Supervision scheme. Once this time period has expired, we will delete your data by permanently clearing the database tables in which your data is stored.

FYP Portal will not send you information about products and services of ours that we think you might like, nor those of our partner companies.

You have the right at any time to stop FYP Portal from contacting you for marketing purposes or giving your data to other members of the FYP Portal.

• The right to acces

  You have the right to request FYP Portal for copies of your personal data. We may charge you a small fee for this service.

• The right to rectification

  You have the right to request that FYP Portal correct any information you believe is inaccurate. You also have the right to request FYP Portal to complete the information you believe is incomplete.

• The right to ensure

  You have the right to request that FYP Portal erase your personal data, under certain conditions.

• The right to restrict processing

  You have the right to request that FYP Portal restrict the processing of your personal data, under certain conditions.

• The right to object to processing

  You have the right to object to FYP Portal’s processing of your personal data, under certain conditions.

• The right to data portability

  You have the right to request that FYP Portal transfer the data that we have collected to another organization, or directly to you, under certain conditions.
